Problem

Problem

Our drawing library was out of control. We had over 400 flat file drawers with nearly half a million drawing sheets to manage.

Documents were lent to consultants or our tradesmen for reference and then returned in disarray. They would be unbound, torn or just not returned at all.

In addition to that damage, our blueprints dated back to 1926 and were printed on several types of media. Years of exposure to light and humidity were causing the line quality to deteriorate making them difficult to read.

The flat file system was growing fast. It went from three, to four, to five units high. Our volume of construction projects meant that we were constantly re-organizing the flat file room.

So, after 16 years of researching ways to preserve and organize our documents, we decided to digitize our construction documents.

Challenges

Challenges

"Digitizing our construction documents posed some unique challenges.

With multiple office locations, we had duplicate sets to review and assess. Some drawings were in better condition than others. We decided that only the best as-built sets would to be scanned.

Then they had to be rolled up and sent to a scanning service off-site. We received proposals from companies out-of-state, requiring our office to pack and ship our drawings out for an unlimited period of time.

Fortunately, we had a proposal from InterCom Network. With the owner’s background in architecture, his staff was trained to monitor the line quality of each scanned drawing. We are very pleased with the result.

However, once we had the scanned images a larger problem arose. How were we going to store, organize and retrieve the images?

In collaboration with the InterCom Network staff, our issues were addressed, resulting in the development of the DigitaLibrarian."

Benefits

Benefits

"The implementation of the DigitaLibrarian enabled us to organize our paperless document collection into a web-based system that can be accessed by users anywhere."

"The architects, engineers, tradesmen and consultants can view drawings on-line and print only the ones they needed. We don’t worry about damage any longer."

"The drawings are organized by school, then date and project. Information is much easier to find then digging through a pile in the flat files."

"Our administrator can upload new documents, assign user rights and monitor use. He can also permit users to request and receive digital copies of documents digitally."

"The DigitaLibrarian not only resolved our filing nightmare, but we now save on travel and printing cost too."
